How to make an org chart

    Last updated November 3, 2026

Put one role in each box, put the lead at the top, and connect each person to the role they report to. An org chart is reporting lines. It is not a process. Do not draw a diamond on it.

What does the template already contain?

The org chart template is a small tree: one lead and the roles under them. Open it and replace the labels. Add a box by placing a rectangle and connecting it to the manager.

Keep the boxes the same size. A larger box does not mean a more important role, and it makes the row look broken. The picture is the structure, not a performance review.

    What should you leave out?

Leave out the process. How a request moves is a flowchart. Who someone reports to is the org chart. Combining them makes both unreadable. Link the two pages if a reader needs both.

Leave out dotted lines until you can say what the dotted line means in one sentence. A decorative second arrow is how charts start lying.

How do you keep it current?

Date the title when you export. An org chart without a date is how a new person emails the wrong manager. The PNG is a snapshot. The board is what you edit next time.

FlowSimp is completely free to use — no sign-up required. Optional Google sign-in saves the board to the account. Guest drawings stay in the browser that made them.

    What are the steps?

    1. Write the roles. Use role names if the people change. Use names if the chart is for a team that already knows each other. Do not mix a role and a project on the same box.
    2. Put the lead at the top. One box. If two people share the lead, the chart is already a special case. Say so in the label instead of drawing two arrows up.
    3. Connect reports downward. Each box has one manager. A person with two managers needs a note, not a second solid line that pretends the structure is simple.
    4. Stop at the question you were asked. A chart of a whole company is a poster. A chart of one team fits on a page and answers who to ask.
